A simple weekly routine

Set each course up once, enrol the student, then let Fee Desk create the charges and prepare reminders. Reception only deals with exceptions and cash collected on the day.

1

Create courses and prices

The administrator records the course, tutor, schedule, location and standard weekly or monthly price. This becomes the centre's reusable course catalogue.

2

Enrol each student

Add the student and parent contact details, then select their course. The normal price and timetable are applied automatically; authorised staff can record a discount.

3

Charges are prepared

Before each class, the system creates the expected fee and shows it on the class register. No weekly spreadsheet or manual calculation is required.

4

Parents are reminded

A scheduled email or SMS is sent a few days before class with the amount, lesson details, bank reference and card-payment link.

5

Reception signs students in

On arrival, reception sees Paid, Due or Part-paid. They can give a verbal reminder and record cash immediately, including the staff member who received it.

6

Owner reviews exceptions

Bank transfers are matched, uncertain payments are reviewed and overdue reminders are approved. The weekly report shows expected, collected and outstanding fees.

Administrator

Maintains courses, prices, student records and reminder settings.

Reception

Signs students in, checks payment status and records cash.

Owner
